Quick Start

Go from a brand-new account to your first candidate in about ten minutes. This guide walks you through signing up, creating your first hiring pipeline, and sharing the application link that lets candidates flow in.

1. Create your account

  1. Go to the signup page.
  2. Choose Continue with Google, or click Continue with Email and enter your email and a password.
  3. That's it: there's no email verification step. Your workspace is created instantly and you're signed in as its Owner.

New accounts start on the Free plan, and email signups include 3,000 free credits. Credits power Hivemind's AI actions (assessment evaluation, voice interviews, pipeline automation), so you can try everything end-to-end before adding a plan. See Credits & Billing for details.

2. Choose where to begin

After signup you land on the welcome screen with two options:

  • Try HiveQuest: opens a quick interactive tour in a new tab, great for a first look.
  • Continue to Hivemind: takes you straight to your Inbox, the home of your workspace.

3. Connect your email (recommended)

Before your pipelines start messaging candidates, connect a mailbox so Hivemind can send and receive on your behalf:

  1. Open Settings → Email Services.
  2. Connect a Google (Gmail) account, or any provider via IMAP/SMTP.

If you plan to schedule interviews, also connect Google Calendar, Google Meet, or Zoom under Calendar → Connections. See Calendar & Scheduling.

⚠️

Without a connected mailbox, automated candidate emails and inbound reply tracking won't run. You can still build pipelines; just connect email before going live.

4. Create your first pipeline

Head to Pipelines → Create Pipeline. You'll see two tabs:

  • Hive (default): the AI chat builder. It walks you through a few quick choices:

    1. Pick a starting point: Simple Pipeline (Resume Screen → Interview), Phone Prescreen, or Skills Prescreen (adds an assessment), or skip the template.
    2. Role, skills, and seniority: tell Hive who you're hiring.
    3. Interview setup: pick interviewers, choose Google Calendar or Zoom, set your timezone.
    4. Optionally add location, contract type, and notes, review the summary, and hit Create pipeline.

    Hive then generates the job description, composes the assessment, and configures your pipeline stages automatically. When it finishes you'll get links to View Pipeline and View Assessment.

  • Manual: build from scratch with the drag-and-drop editor instead. See Creating a Pipeline.

5. Activate the pipeline

Pipelines built with Hive are created active, so their application link works right away and you can skip to the next step. Pipelines built with the Manual tab start as drafts, which can't accept applicants: open the pipeline, finish any remaining setup, and click Activate to take it live.

6. Share the application link

Every active pipeline has its own public application page. Open the pipeline's menu and choose Application Link to copy it, then post it on your careers page, a job board, or send it directly.

Candidates who apply through that link enter the pipeline at the first stage and move through your stages automatically (resume screening, assessments, interviews) with no manual work from you. Manual-review stages will show up as items needing your attention.
